Our network of Scandinavian and Russian destination partners and local suppliers assure you the very best travel arrangements and most competitive pricing. We are active partners in the promotion of the Scandinavian countries as a destination of choice and participate in various regional travel workshops cooperating directly with all the Scandinavian Tourist Boards. As your Premier Tour Operator, we are a valuable resource for many travel agents across the U.S. who can provide Scandinavian travel. The Nordic Company is an active associate member of ASTA.
Booking a Reservation and/or Making a Deposit
Phone, fax or email your reservation with passport names, addresses and invoicing directions for all persons traveling. Unless otherwise indicated, to hold your reservation on an escorted program, an approximate 25% deposit plus air, if applicable, is due within 5 days of the actual booking. In the case of a customized itinerary, the same deposit requirement is due immediately to begin the booking/confirmation process. Changes and cancellations must be made in writing and final payment is due 60 days prior to departure. Services booked within 60 days of departure must be paid in full at time of booking. The Nordic Company reserves the right to cancel or alter any tour 30 days prior to departure due to unforeseen circumstances. Payment is accepted in cash, check, Travel Agency check, Visa, MasterCard, Discover and American Express.
- Air transportation – All tours including airfare are departing from the East Coast. If Nordic air is part of your travel arrangements, the total price including taxes is due upon deposit.
- On all air/land combination tours, airport transfers are only included when air portion is purchased from The Nordic Company. NOTE: Single supplement pricing does NOT include transfers
- Please supply The Nordic Company a copy of your passport at time of booking (to check full passport names for ticketing).
- Any deposit for a package offered by The Nordic Company shows acceptance of prices, exclusions, conditions and responsibilities as stated in our proposed itinerary.
- All airline, cruise, ferry and rail tickets, once issued, are nonrefundable.
- Cruising cancellation penalties may apply.
- Price quoted is a complete package price; an itemized breakdown will not be provided to protect our privileged supplier relationships.
Cancellations, regardless of the reason, result in costly charges and fees incurred from canceling. The following fees from suppliers (a minimum of $250 per person plus a percentage of the total tour price) will apply for any cancellation with a written statement:
- Up to 60 days prior to departure: $250 - $750 pp dependent on total trip price
- 60 – 45 days: 10% of total price plus $250 pp
- 44 – 30 days: 25% of total price plus $250 pp
- 29 – 7 days: 50% of total price plus $250 pp
- Less than 7 days: nonrefundable
Note: all airline, cruise, ferry and rail tickets, once issued, are nonrefundable; however may be changeable with a fee. As the cost of escorted tours is based on group travel, no refund will be made for any unused sight-seeing, transportation or other packaged services en route.
Travel Insurances – (Travel Guard/Travel Safe)
We highly recommend that you protect your investment with travel insurance protection while en route including trip interruption, lost luggage and health coverages. Preexisting conditions can be covered if premium payment is made within 15 days of your initial trip deposit. Call The Nordic Company or your Travel Agent for details and pricing for these valuable and comprehensive travel insurance options.
Any amendments received after the deposit has been paid are subject to a $50 pp change fee plus any other fees that may be assessed by our air/sea/land suppliers.
All brochure prices are stated in U.S. dollars as of November 2008. In case of change in VAT, other government taxes or significant currency exchange-rate fluctuation, prices are subject to corresponding change.
Included in Tour Price
Transatlantic air from the East Coast. Airfare available from all of U.S. gateway cities, hotel accommodations with private facilities (unless specified); meals specified by “B” breakfast, “L” lunch, “D” dinner, service charges, hotel tax and transportation outlined in the itinerary.
Passport and Visa expenses, airport surcharges, air taxes (where applicable), baggage insurance, beverages (liquors, mineral water, soft drinks) and personal items such as laundry, telephone charges, discretionary tips, etc.
Confirmation, Travel Tips, Documents
Nordic will make all the necessary air, hotel, rail, ship, ferry and attraction bookings and will provide tickets, vouchers and passes to make your trip as seamless a travel experience as possible. Upon receipt of your final payment, documents will be mailed out between 10 – 14 days of your departure by priority delivery. Our Scandinavian Travel Tips booklet (tipping, climate, what to pack, etc.) is sent out with the invoice reflecting your initial deposit.
Nordic will provide accommodations as stated in the itineraries with private facilities, in hotels listed or of similar classification—if overbooked status were to occur. Nordic reserves the right to change hotels to equal or better standards due to unforeseen circumstances.
We do our best to accommodate special requests, such as airline seat selection, special diet, double bed, ground level needs etc., although this is often beyond our control. Please give us 60 days’ advance notice. Passengers who require any form of assistance (i.e., in case of a disability) must travel with a qualified companion to provide personal assistance and care. Tour travelers should be able to scale 3 to 4 steps into the coach.
You are allowed 2 normal-sized suitcases, up to 50 pounds each, and one carry-on that will fit comfortably in the overhead compartments or under your seat. (according to the latest airline standards). HOWEVER, for your convenience, time and manageability, we recommend that you travel light! As always, please check the airline website for any recent changes.
Liabilities and Responsibilities
Nordic, its agents, cooperating travel agency network, employees, representatives or other associations do not act as principals. In accordance, Nordic, or any agent representing the company shall not be liable for any losses or damages due to or arising from a result of any acts or omissions of persons, firms or companies for whom we act as agent. By utilizing our services, you agree that neither Nordic, nor any of our representatives, shall be liable for any accidents, losses, injuries or damage to you in connection with any accommodation, transportation or other services, resulting directly or indirectly from any occurrences or conditions beyond our control, including: breakdown of equipment, theft, delay, or cancellation of or changes in itineraries or schedules. Nordic is not responsible for printing errors.
Nordic shall not be liable for expenses due to strikes, bad weather, flight delays, governmental actions, disturbances or any other cause beyond its control or that of any of its principals, agents or subcontractors. Your acceptance of Nordic’s tickets and vouchers shall be deemed to be consent to all of the above conditions.
Coach tours are usually operated by deluxe 48-passenger motor coaches and conducted by a professional tour director, as indicated.
Site Visits and Other Features
Nordic reserves the right to substitute visits, entertainment or other features, when venue is closed or cannot be visited for reasons beyond our control.
Visa Requirements to Russia*

St. Petersburg by Rail, Scandinavian Capitals, Cruising and Customized Tour Programs
A Visa is compulsory for all passengers traveling into Russia including most cruises. When your booking is confirmed, we will assist you with your Visa application form and provide a Visa support letter necessary for your application. However, we do not process the forms.
When applying for your Visa, you will need the following:
- Three identical, matte-finish passport photographs
- Valid passport, which now must accompany your application
- Current Visa application forms
- A service charge applies, which includes the consulate fees. Usually a rush surcharge of $100 pp applies for Visa requests received 10 – 29 working days before departure
IMPORTANT! Citizens of Austria, Belgium, France, Germany, Greece, Israel, Italy, Luxembourg, the Netherlands, Portugal and Spain must also provide proof of travel insurance and medical coverage.
